Terms and Conditions


Please read these terms and conditions carefully as they incorporate the basis upon which reservations are accepted by Kyko Accommodation.

Making a reservation automatically accepts all the terms and conditions outlined hereunder. Kyko Accommodation Pty Ltd. ABN 53 008 269 725 reserves the right to change and/or modify any of these terms and conditions at any time without notice and such changes will become effective immediately. Please check these terms and conditions periodically for changes. The effective date of these terms and conditions is October 2015.

Check-in/arrival time is from 15:00 (3:00PM). We allow guests to arrive earlier and park their cars if being picked up by tour operators, this must be pre-organised with Management and a suitable parking spot will be allocated until the apartment is ready. Check-out/departure time is prior to 11:00 (11:00AM) - late check-out after this time may incur an extra night’s charge or surcharge if pre-booked. If the property is fully booked on the evening of departure date, late departures or extensions not already confirmed will not be permitted.

Upon departure, the cottage must be left in a similar condition as arrival. All rubbish must be placed in the bin, excessive rubbish must be taken to the skip bin on the property. All cottages must have air conditioners turned off, lights off and locked up securely upon your departure.

A guest who registers themselves as the booking holder will be held accountable for any damage to the cottage and contents during the stay dates. The registered guest will be liable for damages caused (including those by third parties visiting or staying in the accommodation) which will result in forfeiting any deposits, pre-payment, security deposit/ pre-authorisation and also may be subject to additional charges. We reserve the right to process any charges in addition to accommodation to the registered credit card supplied on the booking.

The following amenities are included in all apartments (variations may apply and brands are subject to change):

·         bedding linen, blankets and pillows

·         kitchen tea towels, dishwashing liquid and dishwashing tablets

·         bathroom linen inclusive of 1 towel per person, face washers, bath mat and hand towel

·         bathroom amenities including; shampoo, conditioner, body lotion and soap

Our standard cancellation policy will result in all monies paid forfeited. In this case, we will open the site back to available and should the property re-book over the same dates, we will offer a full refund, less a $100 Cancellation Fee. If the property does not re-book, all monies paid will be forfeited in FULL.  

Should you elect to cancel your booking outside of a 42 day (6week) arrival period, we will provide a Gift Voucher of the paid monies, less credit card & booking fees paid. Gift Vouchers will be valid for 12months and will be subject for use as a monetary amount against re-booked dates. Please note, rates may fluctuate and live rates are subject to change.

If the guest does not arrive, the reservation will be treated as a No-Show and any payment made will be forfeited.

You agree to enter the property at your own risk. Kyko Accommodation does not accept any responsibility for damages or loss to your property or property belonging to someone else.

A credit card pre-authorisation may be required prior to your arrival as a security deposit (bond) on your accommodation totalling $300. We may pre-authorise a credit card for any charges we deem appropriate if the property is not left in a suitable manner. Please ensure you have sufficient funds on your card for the pre-authorisation as we do not hold any responsibility for additional fees your bank may charge you for overdrawing on your account.

Pre-Authorisations can take between 3-10 working days to be released, depending on your financial institution. During this period, your bank holds the funds as “pending” in your account and will drop off when released. We DO NOT access these funds unless there are outstanding amounts on your booking or if there are damages to the accommodation during your stay.

A surcharge of 1.5% applies when paying with Visa & Mastercard. There will be no surcharge when paying via Direct Debit.

Kyko Accommodation representatives may evict a guest or visitors without warning. Guests who are evicted from the property will be blacklisted from all Kyko Accommodation locations and we may choose to notify the police. A guest is subject to such eviction should the following (but not limited to) occur;

·         Intoxication and unsavoury behaviour

·         Overcrowding - when the number of persons in the apartment exceeds the capacity

·         Physical or verbal assault towards hotel representatives, residents or other guests 

·         Wilful damage to Billabong Moon property

·         Any incident for which the police need to be called onto the premises

·         Any behaviour posing a safety threat to others

·         Ignoring advice to reduce excessive noise (music or other noise)

·         Throwing of objects over the apartment balconies or from windows

·         Smoking within the apartment (a cleaning and deodorizing fine will also apply) 

For the comfort of all our guests, we ask that noise is kept to a minimum so everyone can enjoy a peaceful and comfortable stay. Please also extend this courtesy to our neighbours throughout your stay, any excessive noise, disturbance to neighbours & guests will not be tolerated. Management holds all rights to evict any persons due to this at any time.

We do our best to ensure your reservation arrangements are satisfactory, however Billabong Moon does not accept any liability whatsoever for any injury damage, loss, delay, additional expenses or inconvenience caused directly or indirectly by any events which are beyond our control including, but not limited to, civil disturbance, fire, floods, acts of God, acts of Government or of any other authorities, accident to or failure of appliances or equipment, maintenance requirements or industrial action. Due to the rural location of the property, we do not accept any liability for wildlife or species within the property nor any inconvenience they may cause during your stay. We hold no liability and no refunds &/or compensation will be given.

Should appliances in the cottage malfunction during your stay, please notify management. We will make every effort to fix these during your stay, however if this is impossible during your stay, we hold no liability and no refunds &/or compensation will be given.

Kyko Accommodation adheres to the following maximum apartment capacities at all times:

2 Bedroom Cottages/Lodges – Maximum 4 persons Billabong Moon, Maximum 5 persons Drawing Rooms of Berry

Studio Cottages- Maximum 2 persons

Management in writing must approve additional visitors to the property. Any additional visitors without permission will be evicted from the property.

A minimum length of stay may apply during high demand or special event periods, as determined by Billabong Moon. If you reserve a cottage over such dates (as per the reservation terms and conditions) you agree to stay for the required minimum nights. Any changes or cancellations are subject to a penalty and may result forfeiting of any pre-payments and/or deposits.

Payment for entire stay plus any incidentals is required 14 days prior to arrival. The payment policy will be confirmed at time of reservation. If the payment policy is not adhered to the reservation may be cancelled.

We accept Visa & MasterCard. All amounts are charged in $AU (Australian dollars). Any credit cards being used for payment (including incidentals) must be registered to your booking. A 1.5% credit card fee applies to all payments. 

We also accept Direct Debit payments, all payments using this method must be received in our accounts no later than 7 days prior to your arrival.


Drawing Rooms of Berry does not allow pets, failure to adhere to this will be in breach of the agreement and eviction & bond fees may apply.

Billabong Moon allows some pets, you must register your pet with us at the time of booking to ensure acceptance. If your animal is not tied up or enclosed in specific location on the property you will be asked to leave or remove the animal. Guide dogs are permitted and must have a medallion on their collar with the registration number and the owner must also carry a laminated pass (with the owner and dog’s name). Guide Dogs are required to be harnessed in public areas. Please advise ahead of time if you will be travelling with a Guide Dog.

Pets are not allowed inside the cottages at any time, breach of this will inevitably forfeit your bond and any additional charges required to return the property to its high standard will be taken from the registered credit card.

All food, bedding, bowls etc will NOT be supplied, please ensure you bring this with you on your stay.


Whilst care is taken to ensure that the photos and description of our facilities and services is accurate, these are continually being changed, upgraded, and on occasion removed from service. If any feature or facility is essential to you in choosing a particular property, we highly recommend speaking to one of our reservation staff, whom will assist your decision making process and if that feature or facility will be available during your stay. Descriptions are based on information available at the time of publishing and may vary or change at any time. Maps and location photographs are shown for general information only and highlight places in surrounding areas. Actual cottages occupied may vary in decor and inclusions from those shown in photographs.

All rates are quoted in AU$ (Australian dollars) and are per cottage per night and include 10% goods and services tax (GST). Rates within reservations that have a valid confirmation by Kyko Accommodattion will be honoured. Rates that have been quoted are not confirmed until a valid confirmation email has been received from Kyko Accommodattion and therefore subject to change. Kyko Accommodattion reserves the right to amend rates that have been confirmed at incorrect rates due to human or distribution errors.

In the event that the Kyko Accommodattion has a legitimate cause for concern or if the guest has not been seen nor been able to be contacted over a period of time, the cottage may be entered by a hotel representative to ensure the safety and comfort of all guests is in order.

Kyko Accommodattion reserves the right to refuse a guest entry to the accommodation for any reason whatsoever including where the guest has engaged in conduct on a previous occasion adverse to the property.

A rubbish (trash) bin is provided in each cottage. All guests are responsible for the removal of their own rubbish (trash) on a daily basis. Bags are provided in each cottage for this purpose and additional bags are available upon request to management. Should you exceed the limit the bin holds, please contact management for further details on where to place the rubbish.

The Kyko Accommodattion property is a secure environment and we do everything possible to ensure security levels are maintained, and we ask that our guests do also. However, Kyko Accommodattion takes no responsibility for any personal possessions that are lost, stolen or misplaced whilst on the premises.

All Kyko Accommodattion cottages/lodges are non-smoking and smoking in the accommodation is not permitted. Fines will apply to guests who do not adhere to this policy. Our cottages/lodges have patio areas with ashtrays where smoking is permitted.

Kyko Accommodattion cannot accept any responsibility for injury caused by an unsupervised minor staying at our properties, nor can we provide the service of supervising and caring for a minor during their stay. 

All minors must be supervised by an adult at all times due to the abundance of wildlife on the property as well as the dams & pool in the properties that could be dangerous to children without adult supervision.


PRIVACY Kyko Accommodattion sometimes mails or emails marketing related information to customers, to keep them up to date with special offers, improvements, award wins, etc. The Management of Kyko Accommodattion respects your privacy. If you do not wish to receive such marketing related information, you will be prompted to tick a box when registering your booking shortly before your stay.

INDEMNITY Guests staying at Kyko Accommodattion take full responsibility for any damage and/or breakages incurred during their stay. Kyko Accommodattion takes no responsibility for any lost or stolen items from accommodation or vehicles and suggests that guests securely lock their accommodation and/or motor vehicle when unoccupied. No refunds will be issued. Upon departure, any bond paid are refunded to guests, provided the keys and/or hired items are returned in the same condition upon check out.
